Overview: Vista is a BPO based in Korea. They have recently been acquired by GoGlobal and are undergoing a transition to align their processes and systems to GG. The transition is currently taking place and seems to be aimed at being completed early 2024. They have successfully implemented one client (B&C) and run their payroll through Tofu since October 2023. They provide valuable feedback for us to better understand market standards and needs. They are very fair and willing to wait for product changes before rushing things. Their clients and their client experience is always in the forefront of their feedbacks and they generally don’t mind taking a larger adminitrative load if it means their clients will be happier/the transition can happen sooner. On a relationship note, they are very quiet, and feedback normally has to be explicitly requested. Luna, their CEO is the main English speaker in the group and will often lead the calls for her team, but the rest of the group is very involved in the testing and set up.

Current Status: Vista wanted to transfer all of their clients (total of 10) to Tofu by December with a go-live of January. However after further testing they realized they needed a number of product changes before they can proceed with the transition. The general headcount of their clients that they are transitioning is 5 or less with one fast growing client that has 20+ head count. A call was last had on 11/24 notes and next steps below.
Vista Meeting 11/24
Attendees: Alice Lee, Chloe Yeo, Luna Kim, Saman Herath, Tal JacobsMain Discussion Points: Client-specific payroll code management, payroll template flexibility, and implications for the tofu platform from Vista's BPO perspective.
---End Client's Needs (from Luna)
- Clients often prefer to use their own pay codes rather than the ones preferred or suggested by Vista.
- The nomenclature or convention of pay codes can vary between different clients. This is based on their internal systems and practices. Forcing clients to use standard Vista pay codes could lead to confusion and inefficiency.
- Clients regularly update pay codes: Clients frequently add new pay codes, sometimes on a monthly basis. This is especially true for clients who offer varied compensation elements like bonuses, allowances, or stock options. Each new pay code addition requires mapping and integration into the system.
- Clients often don't want to make changes manually (type it in) and prefer to use Excel files. Even for a small number of employees, they prefer to use Excel since it minimizes errors --> doubting
- --Pain points with current deployment
- Client-Specific Code Visibility: The display of all pay codes to all clients is causing confusion and may not be sustainable as the number of clients increases.
- As each client may have unique pay codes and conventions, the current one-size-fits-all model of displaying all pay codes for all clients may not align with the personalized service clients expect.
- Template Rigidity: Clients desire the flexibility to upload their current format without needing to adjust to a prescribed template such as the bulk upload template now
- Frequency of Pay Code Modifications: Clients frequently add new pay codes, requiring continuous updates and template mapping. These new pay code stay relevant.
- --Vista’s Stance:
- They emphasize the requirement for tofu to accommodate unique client templates and concerns.
- Clients should be able to use their own templates without manipulation.
- Concerns about the shared visibility of pay codes and the overhead to manage pay code modifications.
- --Tofu’s Next Steps:
- Visibility: Working on a feature to allow clients to see only relevant pay codes for their respective pay runs.
- Template Flexibility: Developing a capability where clients can upload their Excel templates, which Tofu will learn to read and map accordingly.
- Resolution Timeline: Address visibility and template issues by the end of the year.
- Schedule follow-up meetings as developments roll out or as Vista tests new features.

Next Steps: Tofu to develop the above requests and schedule a follow up call once the new features become available. Vista will text the new features and new timelines will be discussed and determined based on feedback.
