Paid Time Off Policy

Overview:

Tofu values the diversity of its workforce and acknowledges the need for a flexible holiday policy to accommodate employees working remotely across different countries. This policy outlines guidelines for paid time off and the process for requesting and approving time off in a remote work environment.

  1. Recognized Holidays:
    • Employees will observe recognized holidays based on their respective local or national calendars.
    • Recognized holidays may include, but are not limited to, New Year's Day, Independence Day, Thanksgiving Day, and Christmas Day.
  2. Requesting Paid Time Off:
    • Employees should submit time-off requests through Zoho, the designated time-tracking system at least 7 days in advance.
    • Time-off requests will be automatically routed to the employee's manager for approval.
    • For long holidays or special events, employees are encouraged to submit time-off requests well in advance.
  3. Manager Approval:
    • Managers are responsible for reviewing and approving time-off requests promptly, ensuring that there is adequate coverage for essential tasks during the absence.
    • Managers may request additional information or propose an alternative time frame for the requested leave if necessary.
  4. Google Calendar Tracking:
    • Approved time-off requests will be tracked on the company's shared Google Calendar, providing visibility to all team members.
    • Employees are responsible for ensuring their planned time off is accurately reflected on the shared calendar.
  5. Required Coverage:
    • In situations where critical roles require coverage on recognized holidays, arrangements for alternate days off or additional compensation will be considered in consultation with the affected employees.
  6. Unused PTO:
    • Unused PTO will not be carried over to the next calendar year unless required by local law. Employees are encouraged to manage their time off efficiently based on their local holidays and work requirements.
  7. Emergency Leave:
    • In the event of a family emergency or unforeseen circumstances, employees may request additional time off in short notice, even beyond their allocated PTO. Such requests will be reviewed on a case-by-case basis, considering the local context.
  8. Policy Review:
    • This policy will be reviewed annually and updated as necessary, considering changes in local regulations and feedback from employees. Any changes will be communicated to all employees.
