Manage contracts

Contracts are crucial in establishing a clear understanding between parties regarding the terms and conditions of an agreement. They help to define the scope of work, timelines, deliverables, payment terms, and other critical aspects of the agreement. This section will explain everything you need to know about contracts including what contracts are, and how to manage them.

1. What Are Contracts?

Contract module’s purpose is to minimize chaos created by having too many PDF files (such as Statement of Works). It can be used to create a new client rate card or be assigned to Employment Agreements.

2. Access Contracts

  1. Go to the sidebar and select Contracts
  2. Click Contracts
  3. The contracts will show up

3. Create New Contracts

  1. Click + New Contract
  2. Select “Contract Template” (e.g. SOW - Sample SOW)
    1. This template is created in the 📖Manage contract templates section
  3. Select “Client” (e.g. Example Corporation)

  5. Click Submit & Continue
  6. Fill in the information according to the selected contract template (this instruction will use the SOW template as an example). There are 2 ways to fill in the information: a. Importing From Existing Data and b. Manual Input
    1. Importing From Existing Data
    2. 1. Click Import

      2. Select where to import from

      • Country fees: Pre-filling by standard fee designated for each country
        • Enter “Service Country” and “Currency”

        • Select a “Client” & Select “Quotation” from the client

      • Past SOW Contract
        • Select “SOW Contract”

      3. Click Import

      Note The import function is useful when a client has past contracts made or information filled in their quotation regarding worker fees.

      b. Manual Input

      1. Enter “Contract Date”: the date the contract is made and became effective unless there is a different defined 'Effective Date' or 'Commencement Date' (e.g. 28/02/2023)
      2. Enter “Client Name” (e.g. Example Corporation)
      3. Select “Associated MSA”
        • MSA (Master Service Agreement) is a contract between two parties (e.g. GoGlobal and Vistra) that have an ongoing project or business relationship that offers a flexible system for completing a project over time
      4. Select “MSA Execution Date” (e.g. 28/03/2023)
      5. Select “Employment Country” (e.g. Australia)
      6. Select “Billing Currency” (e.g. Australian Dollar)
      7. Select “Reference ID” (optional)
        • Can be used to locate the contract

      1. Fill in fees
        • Standard Fees

          2. Enter month of “Refundable Deposits”
          3. A refundable deposit refers to a sum of money that is paid by one party to another as a guarantee that they will fulfill a certain obligation or abide by certain terms and conditions. The deposit is usually refunded to the party who paid it if they meet the conditions agreed upon or if they fulfill their obligations.

            Example A rental property may require a refundable deposit from the tenant as security against any damage they might cause to the property during their stay. The deposit will be refunded to the tenant at the end of the lease period, provided that there is no damage to the property. Similarly, a service provider may require a refundable deposit from a customer to ensure that they will return any equipment or other items they have borrowed in good condition.
          4. Enter “Accrued Severance”
          5. Accrued severance refers to the amount of money that an employee has earned but not yet received as part of their severance package. Severance pay is a form of compensation that an employer provides to an employee who is laid off or terminated from their job. It is usually based on the length of the employee's service and the terms of their employment contract.
            When an employee is terminated or laid off, their employer will calculate the amount of severance pay they are owed based on the terms of their employment agreement. If the employee is entitled to receive severance pay, but the payment is not made at the time of termination, the amount of the severance pay owed is considered to be "accrued."
          6. Enter “Urgent Setup Fee”
          7. An urgent setup fee is a fee charged by a company or service provider for quickly setting up a product or service for a customer. This fee is typically charged when a customer needs the product or service to be set up in a shorter timeframe than the standard time frame provided by the company.
          8. Enter “Urgent Offboarding Fee %”
          9. An urgent offboarding fee is a fee charged by a company or service provider for quickly terminating an employee or a client's access to a product or service. This fee is typically charged when the employee or client needs to be terminated in a shorter timeframe than the standard time frame provided by the company.
          10. Enter “Off-Cycle Fee”
          11. An off-cycle fee is a fee charged by financial institutions, such as banks or credit card companies, for processing a payment outside of the normal billing cycle.
          12. Enter “Travel Insurance Fee”
          13. A travel insurance fee is a charge for purchasing insurance coverage that provides protection against certain risks and losses that may occur during travel.
          14. Choose whether to include local fees or not
            • If including local fees
              1. Select “Fixed Fee” or “Variable Fee”
                1. Fixed Fee: Enter “Fixed Monthly Fee”

                3. Variable Fee: Enter “Minimum Monthly Fee” and “Monthly Fee %”

              3. Enter “Offboarding Fee”
          15. Choose whether to include expat and visa fees or not
            • If including expat and visa fees
              1. Select “Fixed Fee” or “Variable Fee”
                1. Fixed Fee: Enter “Fixed Monthly Fee”

                1. Worker can sponsor their family members to apply for dependent visa

          3. An out-of-pocket admin fee is a fee charged by a service provider to cover the costs associated with certain administrative tasks that are not included in the standard service or product offering.

          7. An exchange rate markup is an additional fee or percentage that is added to the exchange rate used for a foreign currency transaction.

          This is a section where we will be working on an hourly rate for any work that is to be undertaken.
      2. Click Generate Contract
      3. The created contract will show up in the table

4. Status of Contracts

  1. Open (Generated): The contract has been published and can be sent to a client
  2. Open (Draft): The contract is still in the making
  3. Signed: The contract has been signed by both client and GoGlobal
  4. Archived: The contract is terminated (or no longer in use)

5. Edit Contracts

  1. Click anywhere on the row of the template that you want to edit (e.g. Example Corporation, SOW - SOW Sample)
  2. Click Update Inputs
  3. image
  4. Edit the information as you want
  5. Click Generate Contract
  6. The contract will change accordingly

6. Sort Contracts

The table can be sorted alphabetically and numerically in descending and ascending order.

  • If data in the selected column is alphabetic data, it will be sorted alphabetically
  • If data in the selected column is numerical data, it will be sorted numerically
  • If data in the selected column is in date format, it will be sorted from newest or oldest

The table can be sorted by one column at a time.

  1. To sort based on that column, click on the head of a column until you get the desired sort

7. Sharing Contracts

Once a contract is generated, you may download a copy of it and forward it to the client to receive their feedback and approval.

  1. Click anywhere on the row of the template that you want to edit (e.g. Example Corporation, SOW - SOW Sample)
  2. Click Preview to preview the contract

  4. Click Download to download
  5. image
  6. The contract will be downloaded to your device

8. Filter Contracts

You can choose desirable criteria to filter lists of contracts that you want to display in the table.

  1. Click Filters
  2. Select criteria that you want to filter (e.g. Client)
  3. Set your criteria (e.g. A Company)
  4. image
  5. The filtered values regarding your criteria will show up in the table

The filter can be set and edited from the bar above the table as well.

9. Archive and Unarchive Contracts

To archive contracts:

  1. Click anywhere on the row of the contract that you want to edit (e.g. Example Corporation, SOW - SOW Sample)
  2. Click Send to archive
  3. image
  4. The status of the contract will change to “Archived”

To unarchive contracts:

  1. Click anywhere on the row of the contract that you want to edit (e.g. Example Corporation, SOW - SOW Sample)
  2. Click Unarchive
  3. image
  4. The status of the contract will change to the previous one before archived
