1. What Are Onboarding Form Submissions
Onboarding form submissions provide a comprehensive record of all the onboarding forms that have been sent to employees, regardless of whether they have been completed or not. This is important for employers to keep track of the onboarding process and ensure that all necessary forms are completed by new hires. By having access to this information, employers can follow up with employees who have not yet completed their onboarding forms and ensure that all required information is obtained in a timely manner.
2. Access to Onboarding Form Submissions
- Go to the sidebar and select
Onboardings - Click
Onboarding Form Submissions - The Onboarding Form Submissions will show up

3. Status of Onboarding Form Submissions
- Archived: If a worker is terminated, clients can archive the worker. The worker will be removed from the system but the data will remain so that clients can access it if necessary.
- Awaiting worker input: The onboarding form has been sent to the worker, but the worker has yet to sign.
- Processed: The form is being filled out by the worker
- Submitted by worker: The form has been signed and submitted by the worker
4. Creating New Onboarding Form Submissions
- Click
+ New Onboarding Form Submission - Fill in the information
- Select “Client” (e.g. A Company)
- Select “Worker”: This is a worker from the client company (e.g. Benson White)
- Select “Onboarding Form Template” (e.g. A Template)
- Select “Onboarding Form Country Template” (e.g. Japan)
- Insert “Notification email” (e.g. Benson.White@mail.com)

- A link is then created, which can be sent to the worker for him/her to submit
- The status of the submission will be “Awaiting Worker Input”

5. Archive and Unarchive Onboarding Form Submissions
To archive onboarding submissions:
- Click anywhere on the row of the submission that you want to edit (e.g. A Template)
- Click
Send to archive - The status of the submission will change to “Archived”

To unarchive onboarding submission:
- Click anywhere on the row of the submission that you want to edit (e.g. A Template)
- Click
Unarchive - The status of the submission will change to the status before archived

6. Filter Onboarding Form Submissions
You can choose desirable criteria to filter lists of submissions that you want to display in the table.
- Click
Filters - Select criteria that you want to filter (e.g. Work Country)
- Set your criteria (e.g. Japan)
- The filtered values regarding your criteria will show up in the table

The filter can be set and edited from the bar above the table as well.
7. How Workers Can Fill Out Onboarding Forms
This section is dependent on what kind of form is created by a client but this is an example:
- Receive the link to the onboarding form from the employer (in this case, our client)
- Click
Continue - Fill out the information (e.g. National ID:1234)
- Click
Continue - Review information for onboarding form
- Click
Edit inputsto edit any information - Click
Submit - Client managing worker receives submission email once worker fills it in
- The status of the submission will change to “Submitted by Worker”
- The worker can then review this information
