Onboarding is a process that helps new employees to be integrated into an organization. It typically involves several key elements, including employment agreements, onboarding forms and payroll. By linking the onboarding process to these elements, organizations can streamline their new hire process and ensure that all necessary information is collected and stored in a centralized location. External users can track the status of each process, as well as filter and sort the list of onboarding.

1. Access to Onboardings
- Go to the sidebar and select
Onboardings - Click
Onboardings - The onboardings will show up

- Onboarding Tab: Onboarding Tab shows the list of workers who have been associated to a client in the system and assigned to a onboarding PoC.
2. About Onboarding Process
Onboarding process has 5 steps:
- Filling out the employment agreement form (EA form)
- Creating new employee OR mapping with existing employee
- Filling out onboarding form
- Signing employment agreement contract (EA contract)
- Adding to payrun to set payroll instruction and invoice run
External users can track the status of EA forms, onboarding forms, and payroll from Onboardings page.
Employment Agreement Form (EA Form)
An employment agreement (EA) is a binding document signed by an employer and an employee, when the latter comes on board in a new job. Essentially, it is the start of the entire payroll process. The employment agreement spells out the rules, rights and responsibilities for both the employer and the employee, and includes any special obligations undertaken that are unique in a specific hiring situation.
Onboarding Form
An onboarding form is a document that gathers a new employee's information and documentation required to join an organization. The form typically includes sections on the employee's personal and contact details and other relevant information. In addition to basic contact information, the form may also ask for details about the employee's job title and department. The onboarding process is essential to ensure that a new hire is integrated smoothly into the organization and has everything they need to start working effectively.
2. Status of Onboarding Processes
External users can track the status of the onboarding process on this page. The meanings of the status of the employment agreement, onboarding form, and payroll are explained below.

Employment Agreement Status
- Archived: EA is not in use but can be accessed
- Generated: The Information Request for EA Preparation form has been reviewed and submitted by client
- Signed: EA has been signed by client
- Draft: EA Form has been completed by client but EA document is yet to be reviewed and completed
- Pending Client Input: Client has yet to fill-out the EA form
- Not Started: Yet to start the EA form
- To be processed: EA form is completed by client but the worker is yet to be mapped
- “Map to Client Entities” to complete this process
- Skipped: EA is intentionally skipped for the worker when onboarding
Onboarding Status
- Archived: If a worker is terminated, clients can archive the worker. The worker will be removed from the system but the data will remain so that clients can access it if necessary.
- Awaiting worker input: The onboarding form has been sent to the worker, but the worker has yet to sign.
- Processed:
- Submitted by worker: The form has been signed and submitted by the worker.
- To be processed:
Payroll Status
- Filled out: The worker has been already added to payrun, and payroll instructions of this worker have been filled out.
- Init payroll: The worker has been already added to payrun, but payroll instructions of this worker have not been filled out.
- To be processed: The worker has not been added to any payrun.
3. Filter Onboardings
External user can choose desirable criteria to filter lists of workers that you want to display in the table.
- Click
Filters - Select criteria that you want to filter (e.g. Work Country)
- Set your criteria (e.g. United States)
- The filtered values regarding your criteria will show up in the table

The filter can be set and edited from the bar above the table as well.
4. Sort Workers in Onboardings
The table can be sorted alphabetically and numerically in descending and ascending order.
- If data in the selected column is alphabetic data, it will be sorted alphabetically
- If data in the selected column is numerical data, it will be sorted numerically
- If data in the selected column is in date format, it will be sorted from newest or oldest
The table can be sorted by one column at a time.
- To sort based on that column, click on the head of a column until you get the desired sort
