Manage workers (employees) (1)

Workers page displays a list of employees, which you can sort and filter based on your requirements. Any details of workers can be easily edited and archived. Also, it is possible to assign and track the status of workers whether they are active or inactive. This section will explain everything you need to know about the workers including what workers are, how to create, edit, delete, filter, sort, deactivate workers, and how to check workers’ payroll instructions.

1. What Are Workers?

Workers indicate the list of employees in each client of BPOs. They can be onboarded and off-boarded.

Example Bob Johnson is a worker in Jaguar Corporation.

Each active worker is included in all payroll instruction, payroll, and payrun processes. The name of the new worker is shown when adding a worker to a payrun.

2. Access Workers

  1. Go to the sidebar and select People
  2. Click Workers
  3. The workers table will show up

3. Create New Workers

There are 2 ways to create new workers: a. Add New Workers Directly and b. Upload New Workers

These methods are for users who want to add workers directly to the system.

a. Add New Workers Directly

The first way is adding new workers directly on the browser.

  1. Click + New Worker
  2. Set required basic details
  3. Set optional details based on your preference
  4. Click Create Worker
  5. The new worker will show up in the table

b. Upload New Workers

It is possible to create multiple workers in Excel and bulk upload.

Here is an example file for you to test uploading employee

  1. Click ... then click Bulk Upload Workers
  2. image
  3. Choose your file and upload
  4. The new workers will show up in the table

4. Edit Workers

  1. Click View on the row of the worker that you want to edit
  2. Click Edit Worker
  3. The same information sets as the one you filled in when creating new workers will display
  4. Edit the information
  5. Click Save
  6. The edited workers will show up in the table

5. Filter Workers

You can choose desirable criteria to filter lists of workers that you want to display in the table.

  1. Click Filters
  2. Select criteria that you want to filter (e.g. Employment Country)
  3. Set your criteria (e.g. Japan)
  4. image
  5. The filtered values regarding your criteria will show up in the table

The filter can be set and edited from the bar above the table as well.

6. Sort Workers

The table can be sorted alphabetically and numerically in descending and ascending order.

  • If data in the selected column is alphabetic data, it will be sorted alphabetically
  • If data in the selected column is numerical data, it will be sorted numerically
  • If data in the selected column is in date format, it will be sorted from newest or oldest

The table can be sorted by one column at a time.

  1. To sort based on that column, click on the head of a column until you get the desired sort

7. Check Worker’s Payroll Instruction

  1. Click View on the row of the worker that you want to check payroll instructions (e.g. 000 0004)
  2. The payroll instruction of the selected worker is displayed at the lowest window
  3. Clicked Payroll Instructions to display payroll instructions of the selected worker
  4. (Optional) You can filter worker’s payroll instructions based on your requirements

8. Inactive-Reactive Workers

When your employees are off-boarded, you can change their status to inactive. If they come back, their status can be changed to active again as well.

a. Inactive Workers

  1. Click View on the row of workers that you want to offboard
  2. Click Offboard Worker
  3. (Optional) Set contract status and expected end date
  4. Click Confirm
  5. The status of the selected person will be changed to inactive

b. Reactive Workers

  1. Click View on the row of workers that you want to activate
  2. Click Activate Worker
  3. The status of the selected person will be changed to active
